Most subbies leak $20–40K a month on undocumented variations and expired EOT clocks. We’re fixing that.

Pilot programme open for AU/NZ subcontractors

You build.
AI does the office.

A new kind of site-first AI, built bespoke for AU/NZ construction subbies. Crews chat from site. AI captures every variation, every extra hour, every delay — in real time, on the right task. Other platforms are made for desks. Siteovo is made for site.

Three people, one AI

Different jobs. Same chat. Same source of truth.

Every person on a subbie project wants something different. Workers want answers and want to log what just happened. PMs want to run the project without being chained to a desk. Owners want to know everything without having to ask. Siteovo gives all three what they want from a single AI — in real time.

For workers
Foreman · Sr crew · Gen crew

An AI in your pocket that knows your project.

Type a question, get an answer. Tell the AI what’s done, what’s blocked, what just came up — it handles the rest. No forms. No new app. Just chat like you already do.

  • “What’s the spec for cable trays in Zone 3?”
  • “Wrapped L4 East rough-in, photos attached.”
  • “Mech crew hasn’t shown — can’t start L4 East.”
  • “Is V-020 anti-lig approved yet?”
Daily driver
For the PM
Project manager

A second brain on site. Don’t think. Don’t type. Don’t delay.

AI runs the project alongside you. It captures what crews say, classifies it against your schedule and contract, tracks every time-bar, answers the crew’s questions on your behalf, and surfaces only the things that need your one-tap decision.

  • One-tap approvals from the ute or the lift
  • Time-bar deadlines surfaced before they expire
  • Every chat auto-classified & logged to a task
  • AI answers crew questions you’d normally field
For the owner
Director · Operations lead

Complete oversight without having to ask.

One view of every live project. See what’s claimed, what’s paid, what’s exposed, what’s blocking. Spot a margin problem before month-end — not when the claim comes back light.

  • $-visibility: in claim · approved · paid
  • EOT exposure across every project
  • Real-time margin health per project
  • Drill from any number back to the source chat
Same AI. Same live data. Three lenses. Whatever’s said on site at 10:47am is in the owner’s dashboard by 10:47am, and the PM’s approval queue at 10:47am, and the worker’s confirmation reply at 10:47am.

The problem

PM tools are built for desk PMs. Your crew works on site.

Project management software is heavy. Forms, fields, projects, assignees, statuses — fine for an office-based PM, useless for a sparkie at the top of a scissor lift. So your crew never adopts it. They keep talking in chat instead, because that’s where work actually gets coordinated.

Meanwhile your PM is walking site, fielding calls, drafting RFIs and reconstructing the month from memory. Variations get verbally agreed and forgotten until invoicing. Extra hours of standby get muttered about and never logged. EOT clocks tick over inside Clause 28.1 while everyone is busy doing the actual work.

Crew won’t use the PM tool
Foreman won’t open a tab. Sparkie won’t tap through a form. So nothing gets logged where you need it.
Missed variations
Mentioned on site. PM never sees it. The HC denies it ever happened. That’s $14,200 you don’t bill for.
Missed time-bars
Clause 28.1 initial notice 2 BD from awareness. Miss it, lose the EOT. No second chances.
Month-end pain
PM rebuilds the month from screenshots and memory. Items get left out. The next claim is light by thousands.
How the chat becomes the project

Said at 10:47. In the project at 10:47.

Workers chat like they always do — “wrapped the L4 cable trays”, “mech crew hasn’t shown”, “HC directed extra waterproofing in 3.10”. AI listens in real time, classifies what it sees (completion, variation, extra work, EOT, observation) and proposes a structured update that the PM approves with one tap. The project state is always live. Nothing gets muttered about and lost.

01 · Workers stay in chat

Zero learning curve

Your crew keeps using the messaging app they already use every day. Each worker gets a 1:1 chat with the project AI — nothing new to install, no forms, no training, no fields to tap. They just talk like normal.

02 · AI captures

Nothing slips through

Every message gets matched against your live schedule and contract clauses. Completion → mark complete. Other trade blocking us → EOT candidate. HC directed scope → variation. Standby hours → extra works. Worker speculation → ignored. PM stays informed without drowning.

03 · PM approves

One-tap from anywhere

AI never silently writes. Every change lands in PM’s approval queue with the source message attached. Tap Accept and the project updates — works from the ute, from the lift, from the office. Audit trail captures every decision forever.

One view of the project

Every variation, extra hour and delay ties back to the actual work.

Most subbies juggle a programme in one place, variations in a spreadsheet, extras in someone’s head, EOT notices in an email folder. Siteovo pulls all four into one project view, so when the HC asks “what’s the impact on L4?” you have a one-tap answer.

  • Variations. Directed scope changes show up against the work they affect, with the time-bar clock already ticking.
  • Extra works. Weekend cover, standby, unforeseen demo — hours and value logged against the right line item with photo evidence.
  • EOTs. Delays caused by other trades or the HC trigger an EOT candidate the moment they’re raised in chat. Three clocks tracked under Clause 28.1.
  • Two-way navigation. Click any line item to see every variation, extra and delay attached. Click any claim to jump back to the work. One project, every angle.

What you get

Built around the chat. Not the dashboard.

Every feature designed to surface from a worker’s 8-word message — not from a PM tapping through forms. With subcontract law baked in.

New

Project knowledge base

Crew asks the AI anything — contract clauses, drawings, specs, prior decisions, “is V-020 approved yet?” — and gets an instant answer pulled from the live project. Stops your PM being the human FAQ. Saves hours a week.

Live schedule

Import the HC's programme, expand each section into your trade-level tasks. Inline editing on every cell. Updates flow back in real time as crew calls in completions and blockers.

Variations tracker

Every directed scope change logged against its task, with Clause 33.2 time-bar tracked from the moment of awareness. Photos as evidence. Status from Draft to Paid.

Extra works register

Weekend cover, standby time, unforeseen demo. Hours, value, justification — captured in chat, surfaced to PM, logged against the right task. No more “we should charge for that” lost in a 200-message thread.

EOT time-bar tracker

Clause 28.1's three concurrent clocks (2 BD initial notice / 5 BD full claim / weekly updates) tracked per EOT. Notice deadlines surfaced before they expire. Strict eligibility logic — supplier delay vs HC delay vs trade delay.

Field notes inbox

When AI can't match a worker's report to a task, it relays a refined summary to the PM directly. One tap to attach to the right task, log as XW, add as a new task, or dismiss. Nothing falls through.

Submissions register

You still compile and send the monthly claim your way — the system tracks what's approved-and-awaiting, what's been submitted, what's been paid. Never leave $14,200 of approved variation off a claim again.

How it works

A typical Tuesday morning.

A walked example of how an EOT trigger flows from a foreman’s chat to a notice deadline tracked on your dashboard.

1

Foreman texts

“Mech crew is 5 days behind on the rough-in. We’ve got nothing to do in L4 East. Need to get an EOT in.”

2

AI classifies

Other-trade blockage = EOT-eligible per Clause 28.1. AI identifies T-101 as the affected task, flags as Blocked, drafts an EOT candidate. Doesn’t write yet.

3

PM gets pinged

AI sends James a chat message: “⚠ EOT trigger — initial notice due Thu 14 May 17:00 (14h). Full claim Today 17:00 (2h critical).”Plus a candidate in his dashboard queue. He’s on a scissor lift; he reads it on his phone.

4

One-tap accept

James taps Accept. T-101 → Blocked. E-007 created. Three time-bar clocks running. Audit entry includes the verbatim message from Foreman. PM drafts the actual notice his usual way.

That’s the loop. Worker → AI → PM → record. Every action audited, every change traceable to its source message, every time-bar tracked.

FAQ

Questions we get asked.

Do my workers need to install or learn anything?

No. Your crew keeps using the messaging app they already use every day. Each worker gets a 1:1 chat with the project AI by scanning a QR code at onboarding — zero installs, zero training, no new forms or fields. They just talk like normal and the AI does the structuring. (We're building our own dedicated chat app for later release, but it'll always be optional — the rule is: meet workers where they already are.)

Which contract templates does it work with?

MVP supports Broad Construction's standard subcontract and AS 4300/4303 derivatives. Phase 2 adds Lendlease, Multiplex, John Holland, FKG, Hansen Yuncken, Watpac. For bespoke contracts you can manually enter the time-bar fields once at project setup — the system tracks deadlines from there.

Does the AI auto-draft notices or send them to the HC?

No. You write and send notices the way you already do. The system surfaces the time-bar pressure ("Initial notice due Thu 14 May 17:00") and pre-fills the evidence package (source messages, photos, programme variance) so the actual drafting takes minutes instead of an hour. You stay in control of every piece of communication with your HC.

Can I run it on one pilot project to see how it goes?

Yes — the pilot programme is exactly that. Pick one project, six weeks, no charge. We onboard your PM and Foreman, you tell us at the end of week 6 whether to keep going. Most pilots end with PMs reporting 4+ hours a week saved and zero missed notices.

Where does the AI run? Is my project data private?

Data is hosted in Australia. Each project has its own scoped AI instance — no cross-project learning, no shared models. Worker peer-to-peer chats don't exist (everyone DMs the AI directly), so there's no AI "eavesdropping" on private conversations. Audit trail is immutable at the database layer — even admins can't rewrite history.

Does it replace my existing PM software (MS Project, Asta etc.)?

For most subbies, yes — Siteovo's schedule view replaces the MS Project file you keep for your own service-level programme. You import the HC's high-level programme once at project setup, expand into your detailed line items, and from then on the schedule lives here. Enterprise customers can export back to .mpp / .xlsx anytime.
